Bookkeeper

Type:
Part-Time Flexible Hours (15 hours per week)

Overview:
Part-time bookkeeper who reports to Executive Director has a strong understanding of non-profit accounting principles and is a strong collaborative team player. This individual will also be able to work independently and as a self- starter, and have excellent written and verbal skills. Process payments for operating expenses and grants. Apply deposits and review budget to actual reports. Prepare bank deposits. Post and reconcile investment and bank account activities. Reconcile general ledger activity to Gifts (grant software).

Responsibilities:
• Maintain financial accounting system (Quickbooks)
• Make bank and investment deposits; reconcile bank and investment accounts
• Manage Accounts Payable – enter bills; prepare payments to vendors
• Manage Accounts Receivable – prepare monthly reports; send invoices; track deposits and final payments for programs; make phone calls as necessary
• Prepare bi-monthly payroll for artists and staff
• Prepare month-end and year-end financial statements
• Prepare annual 1099s for artists and consultants
• Track contributions from individuals, corporations, foundations and public sources; track expenses against restricted donations
• Provide financial information for grant proposals and management
• Coordinate insurance (business, disability, health and dental, officers and directors, workers comp) – work with agent, verify coverage and payments
• Prepare annual budget with Executive Director
• Work with auditors – prepare information for annual audit
• Manage and coordinate employee benefits, including tracking vacation and personal time
• Human resources management (benefits enrollment, W-4 forms, etc.)
• Collection of artist and vender W-9 forms
• Regular interfacing with Finance Committee and Board President / Treasurer

Qualifications:
• Business management and accounting experience
• Proficient with Quickbooks and Excel
• Excellent administrative and organizational skills, high attention to detail
• Comfortable using a PC and a Mac and interfacing between the two (all financials – Quickbooks – is on a PC, but the rest of the office is Mac based)
Candidates should have strong problem solving skills, work well independently and able to handle several projects at a time.

Program Coordinator

Type:
Full-Time

Overview:
The Program Coordinator reports to the Program and Marketing Director. He/She is responsible for activities related to scheduling Young Audiences' performing arts programs in schools (K-12) throughout Massachusetts. He/She also maintains the organization's website and sends a bi-monthly e-newsletter to sponsors. This full time position provides an excellent opportunity to work with Massachusetts' only statewide arts organization for children, impacting 222,000 student/artist interactions each year and developing new audiences for the performing arts.

Responsibilities:
• Manage the scheduling function for Young Audiences' in-school programs, working with schools and community organizations to help them select programs that best address their needs.
• Maintain and update scheduling, program and school database.
• Maintain constant communication with diverse roster of artists, providing logistical support for their programs, and inform the Program and Marketing Director of artists' questions and concerns as appropriate.
• With the Program and Marketing Director, work on the fall (and spring, when applicable) artist Showcases (marketing event) and other marketing efforts and institutional collaborations when needed.
• With the Program and Marketing Director, the Program Coordinator will collaborate on the creation and distribution of annual YA program guide.
• Track program market trends through communication with sponsors and artists; generate reports with program data.
• Maintain YA website and, working with the Program and Marketing Director, send a monthly e-newsletter to 1,100+ recipients.
• Support the Business Manager with artist financial information and costs.

Qualifications:
Strong customer service skills (verbal/phone/written) and ability to work with volunteers is required. Must have demonstrated ability to prioritize, manage multiple tasks and be self-directed. Applicant must have good organizational, communication, planning, negotiation and problem-solving skills. Significant computer experience required.

Experience in the arts and/or arts-related customer service preferred. Passion for the arts and the education of children is needed. Knowledge of print and web design a plus.

Artist/Ensemble Opportunities

Become a YAMA Roster Artist

Young Audiences of Massachusetts reviews applications for teaching artists and assembly programs on July 1st and December 1st of each year. Applications are reviewed and auditioned by a panel consisting of YAMA staff and Program Committee members. Artists must be currently working professionally in their discipline. Previous teaching experience is not mandatory.

Application Basics

  • Applicants who apply both as a teaching artist and an assembly artist need to complete a separate application for each area.
  • All artists must be available a minimum of two weekdays.
  • YAMA provides required training for all new teaching artists.
  • Artist fees are competitive with industry rates.
